Today I hunted for information on best practices for media relations during a university rebranding. What I observed was that it seems VT and the other institutions seem less concerned with talking to outside parties about their rebrand and more concerned with helping internal stakeholders conform to the brand. Files, color palettes, and other helpful items to keep things standardized abounded on the sites I examined. I haven’t given my recommendation to Michelle yet, but I’m thinking that IUP, if we’re following the example of other players in our space, won’t address the rebrand in our press releases. However, perhaps this is an area where we can innovate and stand out from the rest.

Michelle and Stephanie invited me to a meeting about a presentation on our department’s goals (I think for the next year). I mostly listened and asked questions. I did contribute that social media can be a useful tool to generate earned media. Michelle and Stephanie agreed. IUP does have a social media “guru” outside of our department, but I hope that we’ll coordinate closely with them to leverage platforms like President Driscoll’s Twitter account to promote the President as a thought leader on national issues. That’s a priority for our department. Today I learned that our department isn’t tasked with marketing per se but rather with media relations. Moving forward I need to take stock of my hours to be sure I’m on pace to finish this internship on time.

Today, I continued the now lengthy process of updating the templates I created to receive data on PA media outlets. I still hadn’t finished when Stephanie came into the office to give me a new assignment. She asked me to examine Virginia Tech’s (VT’s) website. There they discuss in detail the rebranding of their university. They provide a timeline of how they turned in this new direction, videos, photos, and a description of the updated brand. Stephanie wanted me to then look at other schools to see if they addressed their rebrands with the same detail that VT did. This information can then be used to help Michelle determine how (or if) to address IUP’s rebrand in our press releases.

It was interesting to learn that IUP, like Jackson Dawson (the multi-million communications company I did my last internship for) is very considerate of what similar institutions are doing when formulating the marketing or public relations strategy for an educational institution. Moving forward, I’ll get started on this new and exciting project.

Today, I took some time off because of a late night working on homework. Stephanie was very understanding and sympathetic to the fact that I was running on little sleep. I like the atmosphere of the office and my supervisors.

I identified potential contacts at the remainder of the newspapers. I didn’t learn anything today due to the shortness of my time in the office. It will be good to dive back into the thick of things after the weekend. One thing I need to do moving forward is to find out what sort of photos my internship supervisor would like to see for my blog. My desktop isn’t very visual.

Today I continued work collecting TV, radio, and print contact data for media outlets in Philadelphia county. Michelle had asked me to get started on this the day before. I made it all the way through the TV and radio contacts and partway through the newspapers.

One thing I’ve picked up recently is that LinkedIn sometimes lists employees of organizations. This proved useful as I scoured websites that weren’t always intuitive looking for information on the staff.

For tomorrow, I’ll continue to collect print data and finish up Philadelphia county. Sometime soon I need to sit down with Stephanie or Michelle and see if they like the way I’m formatting this material.

After I walked in the door this morning, Stephanie dropped by to say that she, Michelle, and I would be heading to a meeting on the IUP Free Speech project in a few minutes. Shortly thereafter, we went over to Michelle’s office. There, I was briefed on the history of the program and the purpose of the meeting. The point was for the committee members to decide how to close out the year and to institutionalize the program moving forward. I listened, while they discussed a documentary to close out the year, as well as various platforms for IUP to discuss free speech moving forward. It was interesting to hear the committee members discuss what each option would cost.

I learned some new names today and got to see how our department, Marketing and Communications, interacts with another university group; in this case the committee for the free speech project. I didn’t say much but observed how the members related to one another and worked together to produce a plan for the chair to take to the university president.

After the meeting, I headed back to Sutton Hall with Michelle and got to work on my ongoing project to get IUP in touch with media outlets across the state. Today’s efforts were mostly centered around identifying TV stations and contacts in Philadelphia county. Moving forward, it would probably be a good idea for me to polish Allegheny County a bit more and run it by Stephanie to get some feedback.

Log

  • 9:12-11:01 (met with Michelle, Stephanie and the Free Speech committee)
  • 11:02-11:24 (digitized notes from meeting with Free Speech committee)
  • 11:24-11:32 (examined free speech programming at IUP)
  • 11:33-1:59 (began to work on Philadelphia county TV contact information)

Having enjoyed the day off from internship due to the holiday, work resumed in the Marketing and Communications department today. I didn’t see Michelle or Stephanie much and spent most of my time in the office. Today I finished dividing a list of news papers in PA up by county. This enabled me to identify the news papers in Allegheny County. Then, I started working through that list of papers. One or two weren’t very useful to our project because they didn’t exist or catered to a different audience than we were looking for. I collected contact information from the papers that we will want to reach out to. With that done, I may have my first draft of print, radio, and television contact information for Allegheny County compiled.

The next step, after I figure out how to present this data to my superiors, will be to show it to Michelle and Stephanie so they can offer feedback on my thoroughness and presentation. If they like the amount of data and the way I’ve arranged it, I will be able to get busy with the remainder of the counties. Afterward, or during this process, I’ll need to propose a way to share this data with my colleagues so they can send our press releases effectively. This is part of how I’m contributing to the marketing strategy of the University.

Today I learned the difference between a managing editor and a head editor. The head editor rarely edits pieces whereas the managing editor will sometimes. The managing editor is also involved with story assignments. For that reason, I’m tending to include their contact info when I’m evaluating staff members at papers to see if we want to reach out to them.

Schedule

  • 9:12-9:53 (finished organizing newspapers by county)
  • 9:53-12:50 (identified contacts for newspapers in Allegheny County)
  • 12:50-12:52 (realized, through feedback from Keppich, that I need to add some info to my radio station data)

Today, I blogged about the adventures of the past week. I am pleased with the contacts for the radio station I worked on today. Hopefully those connections will be receptive to our outreach and be willing to publish stories we send their way.

I learned that there are 88 print organizations in the state. Moving forward, I need to match these newspapers up with the counties in which they reside and I also need to determine which ones have active news departments with reporters and editors it would be good for us to contact.

Hours

– 9:18-11:13 (worked on identifying newspapers and matching them up with the counties in which they reside)
– 11:23-12:27 (updated blog)

Today, I matched up the radio stations in Pennsylvania with the counties in which they reside. This will help me work through the state county by county, identifying the TV, Radio, and Print media organizations present in each.

I’m not sure I learned this today, but one thing I’ve observed is that there are far more radio stations than there are television stations in PA. For tomorrow, I’ll finish identifying the radio contacts at stations in Allegheny County. Then, I’ll just need to identify contacts at the print media outlets and my first county will be done.

Hours

– 9:15-1:00 (matched up radio stations that feature news with the counties in which they reside).

Today, I followed up on my mandate to get Marketing and Communications in touch with media organizations so that we can send them press releases. I pursued this by working, as I was instructed to do yesterday, firstly on Allegheny County. Yesterday I’d identified the three major TV stations in the area. Today I created a list of radio stations for which we may need to find contact information.

I learned that Wikipedia is a useful tool for this project because its extensive lists of media organizations in the state. For tomorrow I need to match up the radio stations that feature news with the counties in which they reside.

Today, I went through orientation. I sat down with Stephanie Keppich and learned about the major assignment I’ll be working on. I’m going to help the Marketing and Communications Department get in contact with media organizations around the State.

One thing Stephanie taught me today was what a DMA is. It is a region where the population can receive similar television or radio media. Nielson helps keep track of where the lines of the markets are around the country. This is a relevant detail for my position since I only need concern myself with media organizations that impact our target market.

For tomorrow, and moving forward, I need to think about how to share a list of email contacts with other members of the IUP community so that when we send out press releases, we can successfully email blast the right people.

Hours

5/21/2019
– 9:00-9:50 (orientation and initial contact hunt assignment)
– 9:51-10:06 (setup work station and checked email)
– 10:07- 10:10 (investigated one drive)
– 10:11-10:24 (began file management process on desktop and one drive).
– 10:30-10:52 (determined that there really are only three news stations that cover Allegheny county)
– 10:53- 12:45 (compiled contact info data for the three major TV Stations in Allegheny County)
– 12:46-1:00 (inquired about payroll situation, and began hourly log.)
